The Facilities Coordinator provides administrative and office systems support for the Facilities management team. This position also is responsible for handling the mailroom postal systems and processes.

Participate in programs/initiatives to enhance corporate culture, such as:

  • Working effectively with and supporting volunteers throughout the organization
  • Supporting OMSI's Total Guest Experience (TGE)/Customer Service mission & objectives in daily job performance, including diversity initiatives

Essential Duties & Responsibilities:

Performing the following may involve driving to various locations outside OMSI's corporate headquarters:


  • Office systems support & related processes for Director & Facilities Management team.
  • Under the direction of the Senior Director of Facilities Operations, assist with financial budgeting, planning, vendor contracts, and department communications.
  • Produce and maintain various monthly reports for Facilities activities.
  • Identify systems inefficiencies and make recommendations for improved information architecture and retention of records.


  • Responsible for sorting and delivering incoming/outgoing mail, deliveries, and postal systems.
  • Responsible for daily mail runs and staff printing assignments.

  • This position is non-exempt, paid hourly
  • This position is regular full-time, scheduled for 40 hours/week.

Working Conditions:

  • Physical Demands: 50% standing, 40% sitting, 10% lifting/carrying/pushing 30 lbs;
  • Vision Demands include close vision (clear vision at 20 inches of less), distance vision (clear vision at 20 feet or more), color vision (ability to identify and distinguish colors), depth and perception (three dimensional vision, ability to judge distance and spatial relationships), and ability to adjust focus (ability to adjust the eyes to bring an object into sharp focus)
  • Environmental Demands include fumes or airborne particles and temperature changes from loading dock doors opening / closing.
  • Noise Level ranges from quiet (examples: library, private office) to moderate (examples: business office with computers and printers, light traffic).

Secondary Functions:

  • Support Custodial and Maintenance teams in monitoring loading dock organization, waste, and recycling streams.
  • Assist Security team in monitoring employee entrance, identifying visitors, and making allowances for access.
  • Coordinate with facilities colleagues in staff recognition and appreciation planning and functions.



  • Demonstrated ability to pivot between individual and team work;
  • Excellent organizational, analytical, and problem solving skills;
  • Excellent attention to detail with a high degree of accuracy;
  • Demonstrated skill with Microsoft Office and Google Suite;
  • Ability to learn new technologies and software;
  • Strong interpersonal, verbal, and communication skills that adhere to confidentiality, protocol, and community agreements;


  • Developed knowledge of diversity, equity, and inclusion principles;
  • Proficient or native fluency in a second language;

Education & Work Experience:


  • 3 years of business/administrative related experience;
